1. Introduction

AEGIX Technologies ("AEGIX," "we," "us," or "our") is a managed information technology and cybersecurity provider based in Upstate South Carolina, serving dental practices and other small businesses in Anderson, Clemson, and the surrounding area. We operate the website located at aegixtech.com (the "Site").

We take privacy seriously — it is central to what we do. This Privacy Policy explains what information we collect from and about visitors to our Site, how we use and share that information, the choices you have, and the rights you may have under applicable law. It applies to information we collect through our Site, through our marketing and advertising activities, and through direct communications with you (collectively, the "Services").

Please read this Privacy Policy carefully. By accessing or using the Site, submitting a form, or otherwise communicating with us, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with our practices, please do not use the Site or submit information to us.

Important — This policy covers our Site, not our clients' patient data. See Section 11 ("HIPAA and Client Patient Data") below. Protected health information that we access, process, or store while providing managed IT and cybersecurity services to our clients is governed by our Business Associate Agreements and applicable healthcare law — not by this website Privacy Policy.

2. Who This Policy Applies To

This Privacy Policy applies to:

  • Visitors to our Site;
  • Prospective clients who request our free assessment, request a quote, or otherwise contact us;
  • Individuals who subscribe to our emails, newsletters, or other marketing communications; and
  • Representatives of our current and prospective business clients.

This Privacy Policy does not apply to:

  • The patient records, protected health information, or other data belonging to our clients that we may access solely to provide our contracted IT and cybersecurity services (see Section 11);
  • Third-party websites, platforms, or services that we do not own or control, even if we link to them (see Section 9); or
  • Information practices of our clients themselves.

3. Information We Collect

We collect information in the following ways.

3.1 Information You Provide Directly

When you fill out a form on our Site (such as our Free HIPAA & Network Security Assessment request, a contact form, or a quote request), subscribe to our communications, or contact us by email or phone, you may provide us with:

  • Your name;
  • Your business or dental practice name;
  • Your email address;
  • Your phone number;
  • Your role or title;
  • The nature of your inquiry or the details of your IT/security needs; and
  • Any other information you choose to include in a message or form field.

You are not legally required to provide this information, but if you do not, we may be unable to respond to your inquiry or provide the requested service.

3.2 Information Collected Automatically

When you visit our Site, certain information is collected automatically through cookies, pixels, tags, and similar technologies (see Section 4). This may include:

  • Your Internet Protocol (IP) address;
  • Browser type and version;
  • Device type and operating system;
  • Referring and exit pages;
  • Pages viewed, links clicked, and time spent on pages;
  • Approximate geographic location (derived from IP address); and
  • Date and time of your visit.

3.3 Information From Advertising and Analytics Partners

Because we advertise on platforms such as Meta (Facebook and Instagram) and Google, and because we use analytics tools, we may receive information about how you interact with our ads and our Site, including aggregated or de-identified engagement metrics and, where permitted, information that helps us measure and improve our advertising.

3.4 Information From Our CRM and Email Systems

When you become a contact in our customer relationship management (CRM) system or subscribe to our email communications, we retain the contact information you provided along with records of our interactions, your engagement with our emails (such as opens and clicks), and notes relevant to serving you.

4. Cookies and Tracking Technologies

We and our third-party partners use cookies and similar tracking technologies to operate the Site, understand how it is used, and support our advertising.

Cookies are small text files placed on your device. Pixels (also called tags or web beacons) are small pieces of code that allow a website or third party to collect information about your activity. We use the following categories:

  • Strictly necessary technologies that are required for the Site to function.
  • Analytics technologies, including Google Analytics, which help us understand how visitors use the Site so we can improve it. Google Analytics collects information such as pages visited, time on site, and general location. You can learn more at Google's privacy page and opt out using the Google Analytics Opt-out Browser Add-on.
  • Advertising technologies, including the Meta Pixel (Facebook/Instagram) and Google Ads tags, which allow us to measure the performance of our advertising, understand which ads led visitors to our Site, and show relevant ads to people who have visited our Site ("retargeting").

Your choices: Most web browsers allow you to refuse or delete cookies through their settings. You can also opt out of interest-based advertising from participating companies through the Digital Advertising Alliance (optout.aboutads.info) or the Network Advertising Initiative (optout.networkadvertising.org). If your browser sends a Global Privacy Control (GPC) or "Do Not Sell" signal, we will treat it as a valid opt-out request where required by law. Please note that blocking some technologies may affect how the Site functions.

5. How We Use Your Information

We use the information we collect for the following business purposes:

  • To respond to your inquiries and provide the free assessment, quotes, or services you request;
  • To communicate with you about our services, including scheduling and follow-up;
  • To send you marketing and promotional communications, where permitted (you may opt out at any time — see Section 8);
  • To operate, maintain, secure, and improve our Site;
  • To understand how visitors use our Site through analytics;
  • To measure, target, and improve our advertising campaigns;
  • To manage our contacts and business relationships in our CRM;
  • To protect the security and integrity of our Site and our business, and to detect and prevent fraud or misuse;
  • To comply with our legal obligations, enforce our agreements, and establish, exercise, or defend legal claims; and
  • For any other purpose disclosed to you at the time we collect the information or with your consent.

We do not sell your personal information for money. See Section 10 for how certain advertising-related sharing may be treated under California law.

6. How We Share Your Information

We do not sell your personal information for monetary consideration. We may share information in the following circumstances:

  • Service providers and vendors. We share information with third parties that perform services on our behalf — such as website hosting, email delivery, CRM, analytics, and advertising platforms — who are permitted to use the information only to provide services to us.
  • Advertising and analytics partners. As described in Section 4, we work with Meta, Google, and analytics providers who may receive information about your interactions with our Site and ads. Some of this sharing may be considered "sharing" for cross-context behavioral advertising under California law (see Section 10).
  • Legal and safety. We may disclose information if required to do so by law, subpoena, court order, or governmental request, or when we believe disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a legal claim.
  • Business transfers. If AEGIX is involved in a merger, acquisition, financing, reorganization, or sale of all or a portion of its assets, your information may be transferred as part of that transaction, subject to this Privacy Policy.
  • With your consent. We may share your information for any other purpose with your consent or at your direction.

We do not share the protected health information of our clients' patients for any purpose other than as permitted under our Business Associate Agreements and applicable law (see Section 11).

7. How We Protect Your Information

Security is our business, and we apply reasonable and appropriate administrative, technical, and physical safeguards designed to protect the information we collect against unauthorized access, use, alteration, and destruction. These measures may include encryption in transit, access controls, and monitoring.

However, no method of transmission over the Internet or method of electronic storage is completely secure. While we strive to protect your information, we cannot guarantee its absolute security, and you provide information to us at your own risk. You are responsible for keeping any credentials you use in connection with our Services confidential.

8. Your Choices

  • Marketing emails. You may opt out of marketing emails at any time by clicking the "unsubscribe" link in any such email or by contacting us at help@aegix.tech. We may still send you non-promotional messages, such as responses to your inquiries or messages about services you have requested.
  • Cookies and tracking. You can manage cookies and interest-based advertising as described in Section 4.
  • Access and updates. You may request that we update or correct the contact information we hold about you by contacting us.

9. Third-Party Links and Services

Our Site may contain links to third-party websites, tools, or resources that we do not own or control, including social media platforms. This Privacy Policy does not apply to those third parties. We are not responsible for the privacy practices or content of any third-party website or service. We encourage you to review the privacy policies of any third party before providing them with your information.

10. Your California Privacy Rights (CCPA/CPRA)

If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (collectively, the "CCPA"), provides you with specific rights regarding your personal information. This section applies only to the extent the CCPA applies to us and to you.

10.1 Categories of Personal Information We Collect

In the past twelve (12) months, we may have collected the following categories of personal information, as defined by the CCPA:

  • Identifiers (such as name, email address, phone number, and IP address);
  • Commercial information (such as records of services requested or inquiries made);
  • Internet or other electronic network activity (such as browsing activity, and interactions with our Site and ads);
  • Geolocation data (approximate location derived from IP address); and
  • Professional or employment-related information (such as your business name and role).

We collect these categories from the sources, and use them for the purposes, described in Sections 3, 4, and 5.

10.2 Sale or Sharing of Personal Information

We do not sell your personal information for monetary consideration. However, our use of advertising cookies and pixels (such as the Meta Pixel and Google Ads tags) may be considered "sharing" of personal information for "cross-context behavioral advertising" under the CCPA. You have the right to opt out of this sharing.

You can exercise this right by adjusting your cookie settings, using an opt-out tool described in Section 4, or by sending a Global Privacy Control signal, which we honor as an opt-out request. We do not knowingly sell or share the personal information of consumers we know to be under 16 years of age.

10.3 Your California Rights

Subject to certain exceptions, California residents have the right to:

  • Know / Access the categories and specific pieces of personal information we have collected about you, the sources, the purposes, and the categories of third parties with whom we share it;
  • Delete the personal information we have collected from you;
  • Correct inaccurate personal information we maintain about you;
  • Opt out of the "sale" or "sharing" of your personal information;
  • Limit the use of sensitive personal information (note: we do not use or disclose sensitive personal information for purposes that require an opt-out); and
  • Non-discrimination — we will not discriminate against you for exercising any of your CCPA rights.

10.4 How to Exercise Your Rights

To exercise any of these rights, contact us at help@aegix.tech. We will verify your request by matching the information you provide against information we maintain. You may use an authorized agent to submit a request on your behalf, subject to verification. We will respond within the timeframes required by law.

11. HIPAA and Client Patient Data

AEGIX provides managed IT and cybersecurity services to dental practices and other clients that are "covered entities" under the Health Insurance Portability and Accountability Act ("HIPAA"). In the course of providing those services, AEGIX may act as a "business associate" and may have access to protected health information ("PHI") that belongs to our clients and their patients.

This Privacy Policy does not govern our handling of PHI. Our access to, use of, and disclosure of any PHI is governed by:

  • The Business Associate Agreement ("BAA") between AEGIX and the applicable client;
  • The HIPAA Privacy Rule, Security Rule, and Breach Notification Rule; and
  • Any other applicable federal and state healthcare privacy and security laws.

If you are a patient of one of our clients and have questions about how your health information is handled, please contact that dental practice or healthcare provider directly, as they are the covered entity responsible for your records. AEGIX does not have a direct relationship with our clients' patients and does not respond to individual patient record requests.

12. Data Retention

We retain personal information for as long as necessary to fulfill the purposes described in this Privacy Policy, including to provide our Services, maintain our business relationships, comply with our legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we will delete or de-identify it in accordance with our retention practices and applicable law.

13. Children's Privacy

Our Site and Services are intended for businesses and adults, not for children. We do not knowingly collect personal information from children under the age of 13 (or under 16 as applicable). If you believe a child has provided us with personal information, please contact us at help@aegix.tech and we will take steps to delete it.

14. Do Not Track

Some browsers offer a "Do Not Track" ("DNT") setting. Because there is no consistent industry standard for how to respond to DNT signals, our Site does not currently respond to browser DNT signals. We do, however, honor Global Privacy Control (GPC) signals as opt-out requests where required by law, as described in Section 4.

15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or for other reasons. When we make changes, we will revise the "Last Updated" date at the top of this policy and post the updated version on this page. If we make material changes, we will provide additional notice as required by law. Your continued use of the Site after any changes take effect constitutes your acceptance of the revised Privacy Policy.
